The Chicago Dental Society Midwinter Meeting is the respected leader in scientific dental meetings and is held annually every February in Chicago, Illinois. Recognized as a premier event for dental professionals, the Midwinter Meeting brings together thousands of dentists, specialists, dental team members, students, and exhibitors for three days of cutting-edge continuing education by the top speakers in the profession, hands-on workshops, and a world-class Exhibit Hall showcasing the latest innovations in dentistry.

Organized by the Chicago Dental Society (CDS), the largest local component of the American Dental Association (ADA), the meeting reflects CDS’s long-standing commitment to advancing oral health and supporting the professional development of dentists and dental teams. CDS serves members within Cook, Lake, and DuPage counties in Illinois, while also welcoming associate members from across the United States and around the globe. Dental students are encouraged to participate and connect with mentors and leaders in the field.

Code of Conduct

The Chicago Dental Society Midwinter Meeting is dedicated to cultivating a professional environment that fosters inclusivity, embracing individuals from diverse backgrounds within a framework that encourages the sharing of ideas and knowledge. To accomplish this objective, the Chicago Dental Society (CDS) is resolutely committed to providing a secure and productive atmosphere that fosters collegiality, respect, and equitable opportunities for all participants. We expect our gatherings to maintain a respectful and harassment-free environment for everyone, regardless of their race, ethnicity, gender, gender identity or expression, sexual orientation, physical ability, nationality, age, socioeconomic status, physical appearance, or beliefs. The Chicago Dental Society places a high value on the rich diversity of perspectives, expertise, opinions, backgrounds, and experiences represented among all participants.

All participants in the CDS Midwinter Meeting shall adhere to a policy that prohibits all forms of discrimination, harassment, and bullying (as delineated below) throughout the conference. This code of conduct applies to all individuals participating in the conference, which encompasses, but is not limited to, attendees, speakers, sponsors, exhibitors, staff, contractors, volunteers, and any other individuals engaged in this event.

Proper Etiquette

• It is imperative to treat all individuals with respect and consideration.
• Engage in open and thoughtful communication with others, remaining mindful of varying perspectives and opinions.
• Participate in respectful discussions and debates concerning ideas.
• Adhere to the established rules and policies of the venue.
• Maintain awareness of your surroundings and your fellow participants.
• Refrain from challenging or attacking others.
• Discussions and comments should serve to stimulate conversation rather than incite hostility.
• Allow others the opportunity to express their opinions freely.
• Any comments deemed defamatory, abusive, profane, threatening, offensive, or illegal are strictly prohibited.
• It is advisable not to post anything that one would not wish the public to view or that one would not want to be associated with one's identity.

Unacceptable Behavior

• Harassment and intimidation encompass any verbal or written communication, including text messages or social media interactions, that serves to threaten, intimidate, humiliate, or coerce another participant.
• Discrimination denotes the prejudicial treatment of individuals based on attributes such as race, ethnicity, color, national origin, sex, sexual orientation, gender identity, age, religion, disability, veteran status, or any other characteristic that is legally protected.
• Sexual harassment constitutes unwelcome sexual advances, solicitations for sexual favors, and any other verbal or physical conduct of a sexual nature that engenders an intimidating, hostile, or offensive environment.
• Bullying and aggressive behavior directed at establishing dominance over others through influence, threats, intimidation, or coercion within a professional environment is unequivocally unacceptable. Additionally, any speech that is personally offensive and not pertinent to scientific merit, particularly when it is based on ethnicity, race, gender, age, body size, disability, veteran status, marital status, sexual orientation, gender identity, or any other characteristic, is likewise prohibited.
• Deliberate acts of intimidation, stalking, unwarranted photography or recording, inappropriate contact, and unsolicited attention through any medium constitute harassment. Additionally, other manifestations of harassment, whether verbal or written, that specifically target individuals or groups based on protected characteristics contribute to the creation of an intimidating, hostile, or offensive environment. Furthermore, sustained disruption of discussions or other events is also considered a form of harassment.
• What may be acceptable to one person might not be to another, so please exercise discretion to ensure respect is communicated effectively. Even joking about harassment can be inappropriate behavior. Retaliating against someone who reports harassment violates this policy, as does reporting an incident in bad faith. It is crucial to understand that the perception of the observer and/or recipient constitutes a violation of this code of conduct, regardless of the perpetrator's intent.

Reporting Harassment

All incidents of harassment, whether personally experienced or observed, should be reported to the appropriate authority at CDS without delay. Every complaint will be treated with the utmost seriousness and addressed expeditiously. Confidentiality will be upheld to the greatest extent feasible, if it does not infringe upon the rights of others.

What CDS Will Do

Upon receiving a harassment complaint, CDS will take the following action:

• Privately contact the complainant to discuss the details of the situation.
• Reach out to the alleged offender to address the complaint.
• Anyone asked to cease unacceptable behavior is expected to comply immediately.
• Officials may take necessary actions, including immediate removal from the conference without warning or a refund, and/or may prohibit future attendance at conferences.

By purchasing tickets for special events, you explicitly release the Chicago Dental Society and its employees from all claims, demands, lawsuits, actions, losses (to persons or property), damages, injuries (including personal or bodily injury, or death), expenses (including attorney fees), or any other liabilities of any kind. This release is effective for any claims that arise directly or indirectly from or in connection with the event, regardless of cause or fault. Your participation signifies your acceptance of these terms.

Speaker/Course

All statements or suggestions provided by instructors or other individuals before, during, or after any educational meeting, seminar, or event associated with the Chicago Dental Society Midwinter Meeting (MWM) reflect the opinions of those individuals and do not represent the views of the Society or MWM. MWM neither endorses nor opposes any specific product, service, company, or course of action.

Attendees should be aware that any conclusions or decisions made during or after the meeting are entirely their own and not influenced by MWM, its employees, or agents. Speakers are required to be fully transparent and disclose any financial, commercial, or promotional interests that may impact their presentations. However, the Chicago Dental Society is not responsible for any failure on the part of a speaker to make such disclosures.

Workshops

Participants in workshops are encouraged to be mindful of the potential risks involved in exploring new techniques and procedures. It is essential to ensure you have reached a suitable level of competency before applying these skills in practice.

Photos, Images, Videos

By attending the CDS Midwinter Meeting, which encompasses all scientific programs, events, and the commercial exhibit hall, participants acknowledge and agree to the following terms:

• Consent to Photography and Recording - Throughout the convention, authorized personnel, exhibitors, media representatives, and fellow attendees are permitted to capture photographs, video recordings, and audio recordings. These recordings may include images of attendees, speakers, exhibitors, and event activities.
• Use of Images and Recordings - By participating in the convention, attendees grant the event organizers and their authorized agents the irrevocable right to use, reproduce, distribute, display, and publish any photographs, images, or recordings captured during the event for promotional, educational, marketing, and archival purposes. This encompasses use in print media, digital platforms, websites, social media, and other forms of communication without the need for compensation or additional approval.
• Attendee Responsibility - Attendees who prefer not to be photographed or recorded are encouraged to inform event staff during registration or before any photography session. Nonetheless, the organizers cannot guarantee that every image or recording will exclude individuals who have opted out.
• Exhibitor Responsibility - Exhibitors are permitted to take photographs or videos of their own booths and products. However, photography or recording of other exhibitors’ booths or attendees without prior consent is strictly prohibited. Exhibitors must respect the privacy and intellectual property rights of others.
• Privacy and Intellectual Property - All attendees and exhibitors are required to honor the privacy rights of individuals and the intellectual property rights of content owners when capturing or sharing photographs, images, or videos during the event.
• Liability - The organizers and the venue shall not be held responsible for any unauthorized use or distribution of images or recordings made by attendees or third parties.
